The Heritage Hub invites users to search for records in a variety of ways, to find the most relevant information easily. This guide provides five different search strategies that can be used throughout the Hub, including the following:

The Heritage Hub invites users to search for records in a variety of ways, to find the most relevant information easily. This guide provides five different search strategies that can be used throughout the Hub, including the following:
Basic Keyword Searching is the most popular search strategy for finding general records throughout the Heritage Hub. This strategy is recommended for users who are beginning a search and using general terms or subjects. This search method is best suited for simple, concise inquiries, and can be helpful in determining what records are in the database, and to help further refine future searches.

Conducting a Basic Keyword Search:
1) Users can search for records using the “Get Started” search box on the Home Page (a), or by entering search terms into the search box found in the masthead on each site page (b). Use either of these search boxes to enter simple keyword inquiries and click the magnifying glass for results:

2) The search results will be populated on a new screen, showing all available records based on relevance.
Please note: to apply Boolean search terms (i.e., inquiries using AND, OR, NOT), you must perform an advanced search.
Example of a Basic Keyword Search:

1) Enter search term into Search Bar and click magnifying glass
2) Results will be populated on a new page, showing most relevant searches first:
Refining a Search:
Once your search results have been received, you can choose to refine your results further by filtering your results. Users can apply specific filters by selecting any of the following applicable metadata on the right-hand side of their results page:

1) Search type → choose to search the records metadata AND/OR Full text of the document.

2) Date → search for specific date, or a year range.
|
|
3) Users can also opt to select from the following drop-down menus and choose applicable controlled vocabularies, including:

Example of Refining a Basic Keyword Search
Search Topic: Learning Brief about FAWE Rwanda
1) Input desired search filters to refine results, for example, if the following is known:

- Date → enter 2016
- Priority/Thematic Area → select Education and Skills
- Owner/Originating Department → select Scholars
- Geographic Location → select Rwanda
- Click “Apply”
2) A new results page will populate showing the refined results based on your filters.
3) Filters can be run multiple times by choosing additional search controls, and selecting “Apply”, or removing previous search controls by selecting “Clear”.

2) Once selected, an “Advanced Search” form will appear. This option allows users to define specific search criteria by applying additional filters at the beginning of their search. Users may choose to search by any of the following options, and may choose to narrow down their results, or opt to use Boolean operators (i.e., AND, OR, NOT), to search for multiple keywords or phrases:
- Keywords Anywhere
- Supplied Title
- Event Name
- Author (Person or Organization)
- Keywords/Access Points
- Archival Record ID
3) Underneath the “Advanced Search” box, you may choose to refine your search by utilizing these additional search facets:
- Date
- Owner/Originating Department
- Priority/Thematic Area
- Resource Subject
- Demographic Groups
- Geographic Locations
- Special Collections
4) Enter the Date or Date range (if known).
5) Expand any of the facets below to refine your search by available controlled vocabulary.
6) Select ‘Search’. Your search results will populate on a new page based on relevancy.

2. Advanced Searching
The Advanced Search strategy is primarily used when more information about the search request is known, allowing users to search for more relevant content based on their specific search requirements.
Conducting an Advanced Keyword Search
1) Users can access advanced searching for records by selecting “Advanced Search” underneath the “Get Started” search box on the Home Page (a), or under the search box found in the masthead on each site page (b):

2) Once selected, an “Advanced Search” form will appear. This option allows users to define specific search criteria by applying additional filters at the beginning of their search. The Browse All search tactic allows users to view the entirety of the collection as their first search step. From here, users may choose to view records individually, or filter the collection down based on their search needs.
Conducting a Browse All Search:
1) Select “Browse” from the main search menu and click on “Browse All”.
2) A new screen will open, showing the entirety of the collection organized by Ascending Titles. Users may choose to sort the collection by ascending or descending title or date by clicking on the “Sort by” drop down:
3) Click on the title or thumbnail from the list to navigate to your chosen record, OR apply filters to view more specific results.
3. Browsing All
The Browse All search tactic allows users to view the entirety of the collection as their first search step. From here, users may choose to view records individually, or filter the collection down based on their search needs.
Conducting a Browse All Search:
1) Select “Browse” from the main search menu and click on “Browse All”.
2) A new screen will open, showing the entirety of the collection organized by Ascending Titles. Users may choose to sort the collection by ascending or descending title or date by clicking on the “Sort by” drop down:
3) Click on the title or thumbnail from the list to navigate to your chosen record, OR apply filters to view more specific results.
The Browse by Special Collection search tactic enables users to view the entirety of a dedicated special collection, which has been organized into various projects, programs, and themes. For quick access to all documents relating to a specific topic, this search strategy is recommended.
Conducting a Special Collection Search:
1) Select “Browse” from the main search menu and click on “Special Collections”.
2) A new screen will open, showing all the current Special Collections available in the Hub:
3) Select the desired collection to review by clicking on the appropriate thumbnail.
4) Users may choose to view the entirety of the collection as it appears on the new screen, filter out results on the left-hand side of the screen, or search for specific terms/records under the dedicated Special Collection search bar:
4. Browsing by Special Collection
The Browse by Special Collection search tactic enables users to view the entirety of a dedicated special collection, which has been organized into various projects, programs, and themes. For quick access to all documents relating to a specific topic, this search strategy is recommended.
Conducting a Special Collection Search:
1) Select “Browse” from the main search menu and click on “Special Collections”.
2) A new screen will open, showing all the current Special Collections available in the Hub:
3) Select the desired collection to review by clicking on the appropriate thumbnail.
4) Users may choose to view the entirety of the collection as it appears on the new screen, filter out results on the left-hand side of the screen, or search for specific terms/records under the dedicated Special Collection search bar:
The “Or Search by Term” strategy is an additional filtering tactic that can be used to narrow down search results within the Heritage Hub. This search strategy is recommended for users who are interested in general topics and seeing what related materials are available within the Hub.

The “Or Search by Term” strategy is an additional filtering tactic that can be used to narrow down search results within the Heritage Hub. This search strategy is recommended for users who are interested in general topics and seeing what related materials are available within the Hub.
